Group Picnics in Napa & Sonoma: Size Limits, Booking and Fees

For a group picnic in wine country, the magic number is about eight. Most wineries cap casual picnics and tastings at six to eight people, so anything bigger needs a booked group experience or a reserved park site. Sonoma has the most options. Cline's pondside tables take up to 16, Roche serves a catered vineyard picnic for up to 16, and De La Montanya books up to 20 online. For 25 or more, reserve a park group area: Sonoma County regional parks charge $75 for up to 99 people. Group-size rules to know before you book

• Six to eight is the usual cap. Benziger allows outside food for groups of six or fewer and asks groups of seven or more to call. Imagery allows outside food and the lawn for eight or fewer, and 9+ must reserve. Gundlach Bundschu caps standard tastings at eight.
• Kids and non-drinkers count. Laird Family Estate has a hard limit of 12 including kids and non-drinkers. Groups of 9 to 12 sign a bottle-service contract at $65 per guest ($10 for non-tasters and kids), applied to wine.
• Expect an automatic tip. A 20% gratuity is often added for larger parties: from six guests at Landmark and The Oasis by Hoopes, and from eight at B.R. Cohn and Viansa.
• Transport limits. Bartholomew Park restricts buses (its estate winery doesn't allow buses, RVs or oversized vans), and Bella Vineyards notes that buses can't use West Dry Creek Road.
• Parks have headcount triggers too. Sonoma County requires a permit for any picnic of 25 or more, and so do Yountville (groups over 25) and Windsor (25+). On the Sonoma Coast, State Parks needs a special event permit for organized parties of roughly 20 to 50. At Armstrong Redwoods, even a 50-person birthday party in the picnic area needs one.

Wineries that take groups, and how to book

• Cline Family Cellars, Carneros. The Large Group Pondside Picnic seats 9 to 16, children included, for two hours: $15 per person plus a two-bottle minimum. Bring your own food or pre-order $50 picnic baskets. Call 707-940-4044 for bigger parties.
• Roche Winery, Carneros. Picnic in Our Vineyards serves 2 to 16 at a private lawn among the vines, $57 a person with lunch and full setup (wine extra). There's one seating, at 11:30 a.m.; book 72 hours ahead.
• De La Montanya Winery, Healdsburg. Backyard Picnic + Bottle Service books up to 20 online with no fee, just a one-bottle minimum per person. Bring your own food, and call 707-433-3711 for groups over 12.
• Breathless Sparkling Wines, Healdsburg. A natural pick for a bachelorette: the Sparkling Garden Luncheon serves 6 to 30 guests a family-style lunch with a three-wine sparkling flight, at $45 a person plus tax and gratuity. Book 72 hours ahead.
• Foley Johnson, Rutherford. Bocce and Bordeaux gives 10 to 30 guests a private picnic area with a bocce court and lawn games. It's $55 a person plus a bottle minimum (six bottles on its booking page), with no food included, so bring the picnic.
• Chateau St. Jean, Kenwood. The Bocce Large Group Experience hosts 8 to 35 at $75 a person with wine ($20 non-alcoholic). Outside food isn't allowed.

For team outings of a dozen, Rombauer seats up to 20 in its gardens for 90 minutes with wine by the glass or bottle, and Matanzas Creek rents tables for up to 12 among its lavender. Martorana Family Winery in Dry Creek Valley takes walk-ins up to 10, reserves for 11 to 19, and hosts private events of 20 to 40 by its creek.

Reservable park group areas and fees

Parks are the budget answer for bigger groups, and most let you bring your own food and grill. Book early for spring and summer weekends.

Sonoma County

Sonoma County regional park sites book online 3 days to 12 months ahead, and most are non-refundable. Alcohol is allowed at all of these except Howarth, where Santa Rosa allows it only on weekday evenings after 5 p.m., weekends and holidays, and never in glass. Jack London State Historic Park also rents its Oak Grove, with barbecue stands and water, for $150 plus $10 per vehicle, but only for casual picnics with no vendors or rentals.

Napa Valley

Beer and wine are allowed in Yountville's and St. Helena's parks. City of Napa parks such as Kennedy allow alcohol only at a reserved site with a city permit, liability insurance and no glass.

Picnic companies and tours for groups

• Picnic Potential, based in Petaluma, styles picnics for two up to about 100 guests at partner wineries, parks, homes and event venues. It quotes after an online request, prefers two weeks' notice, and leaves permits to the client.
• Picnic Era in Napa lists birthdays, bachelorettes and showers among its setups: $250 for two plus $55 per extra guest, up to 12, for two hours. It supplies décor only, not food.
• LaBella Charcuterie in Sonoma handles the food: its Grande Bella board ($200) serves 10 to 12, and grazing tables start at $20 per guest.
• Wine trolleys keep a group together with lunch included. The Napa Valley Wine Trolley takes 6 to 28, and the Sonoma Valley Wine Trolley up to 28. Tasting fees at each stop are extra, and private charters are available.

How to book a group picnic without surprises

1. Count everyone, including kids, designated drivers and non-drinkers, before you pick a venue.
2. Book the venue first, then the stylist or caterer. Wineries decide whether outside setups and food are allowed.
3. Ask what's included. Some fees buy a table only, some include lunch, and bottle minimums often scale with group size.
4. Plan transport around the rules. Check for bus or van limits, and budget for parking at every car at county park group sites.
5. Leave the speaker at home unless it's allowed: Spring Lake bans amplified music at group sites, and Crane Park rentals don't allow it either.
